01Map the records your business actually keeps
Business administration is broader than outgoing invoices. KVK includes purchase and sales invoices, bank records, contracts, correspondence and tax material among important records. Software should support the transactions you really have rather than pushing features you will not use.
Describe a normal document flow: quote, invoice, payment, expense and information handed over for a return. If a bookkeeper handles part of the work, decide which records you maintain and what the professional receives.
02Examine invoicing and VAT support
Business.gov.nl describes invoice requirements for relevant transactions, including the parties, date, invoice number, supply description and applicable VAT details. Not every invoice follows identical rules; international transactions or exemptions can change the information required.
Check that the software can create appropriate invoices for your activity and preserve the source documents. Automatic VAT categorisation is convenient but does not remove the need to verify the treatment. For more complex sales, ask a bookkeeper to review the setup before sending invoices at scale.
03Keep records accessible after changing provider
KVK and Business.gov.nl explain the duty to retain business records and maintain access to digital files for the applicable period. Look for export of invoices and ledger data, preservation of attachments and a way to open the archive after cancelling a subscription, or a planned migration route.
Find out who controls the account, how a bookkeeper receives access and what happens when the software agreement ends. Testing an export periodically prevents years of records from being trapped in one service.
04Compare the whole workflow cost
A subscription price is only part of the decision. Compare limits on invoices, users, bank links, support and export. A cheaper tier may involve more manual work or separate charges for functions used every month.
